Overview
This role will lead all aspects of the team's operational infrastructure across a global portfolio of events spanning APAC, EMEA and North America. Reporting to the Director of Internal Events, you will ensure strong budget management and tracking, procurement alignment and contract and supplier management. The successful candidate will establish a robust operational governance framework to ensure consistent event delivery, risk mitigation and long-term portfolio planning.
Responsibilities
- Drive operational excellence across the global internal events portfolio, providing financial oversight and structured support to the team
- Lead supplier lifecycle management, including maintaining a centralised supplier and contract database, onboarding, performance tracking and compliance.
- Own end-to-end financial governance for the portfolio, including budget tracking, forecasting, PO and invoice management, and reconciliation / closing of event budgets.
- Provide monthly finance reports, highlighting areas of risk for early mitigation.
- Build and maintain strong cross-functional relationships with Procurement, Finance and Accounts to ensure best ways of working, document processes and provide effective issue resolution.
- Support the team and Procurement with a roadmap of activity, including supplier shortlisting, RFP development, contract reviews and renewals.
- Collaborate with the team to provide accurate information and timelines to support event delivery.
- Support global venue sourcing, including research, compilation of options, cost comparisons and contract reviews. Where vital, attend venue recces in APAC.
- Define and track operational benchmarks to measure supplier effectiveness and identify process improvements and cost efficiencies across the portfolio.
- Future proof the events portfolio through continuous improvement and long-term operational planning.
- On the ground support at key Internal Events in India, including our Big Picture / onboarding series.
- Order team merchandise as required.
Required Skills and Experience
- Experience in event operations, event finance, procurement, venue sourcing or a similar operational role across multiple regions.
- Strong financial skills with experience handling budgets, reconciliation and financial risk.
- Experience handling contracts, suppliers, RFP / procurement processes and payment methods.
- Excellent organizational skills with attention to detail and a continuous improvement approach.
- Strong collaboration skills, able to influence cross-functional teams.
- Ability to run multiple projects simultaneously across global time zones.
- Experience working with finance systems and budget tracking tools.
- Commercial outlook with the ability to identify cost-saving opportunities.
- Excellent written and verbal communication skills.
- A strong team-player who is hands-on at events when required.
