Team Overview

The Vendor Management team enables the organisation to work effectively with its external technology and service partners, ensuring vendor engagements are supported by the right processes, governance, data and controls. As our technology portfolio and third-party ecosystem grow, enablement is an increasingly important part of our remit.

This role will sit within Vendor Management and work closely with Project Enablement, creating a bridge between project demand and the commercial activities required to enable delivery. With a particular focus on TPIP access approvals and licensing requests, the role will provide a central point of coordination across Vendor Management, Project Enablement, Procurement, Legal and wider business stakeholders.

The role will improve visibility and flow across the approval process, helping teams anticipate demand, prioritise effectively and remove bottlenecks that could impact project delivery.

Responsibilities

Key responsibilities will include:

  • Act as Point of Contact to collate and drive TPIP access approvals for external workforce (CWF / FAEs), managing requests from intake through to completion and providing clear ownership and visibility throughout the lifecycle.

  • Maintain an accurate view of the request pipeline, including status, owners, dependencies, actions and target dates, providing clear updates and reporting to relevant stakeholders.

  • Coordinate approval requests across Vendor Management, Project Enablement, Procurement, Legal, Finance, Security and other stakeholders, proactively following up and escalating blockers where required.

  • Work closely with Project Enablement to understand upcoming demand and ensure vendor, contract and licensing activities are initiated at the appropriate stage of the project lifecycle.

  • Coordinate approvals and associated record keeping across new contracts, amendments, licence changes, renewals and other commercial requests.

  • Act as a knowledgeable first point of contact for the request process, helping stakeholders understand requirements, responsibilities and next steps.

  • Develop and maintain guidance, templates and process documentation to create a clear and consistent experience for stakeholders.

  • Identify recurring bottlenecks, trends and opportunities to simplify, standardise and improve processes, working with Vendor Management and Project Enablement to implement improvements.

  • Ensure completed contracts, licences and approvals are accurately recorded and transitioned into ongoing vendor management processes.

  • Take ownership of existing coordination activities as they transition into Vendor Management, helping establish a sustainable and scalable operating model.

The Successful Candidate 

We are looking for someone who is highly organised, proactive and comfortable working across multiple teams to drive activity forward. Success in this role will come from strong coordination, attention to detail and the ability to create clarity and momentum across processes involving multiple stakeholders.

The successful candidate will have:

  • Excellent organisational and coordination skills, with the ability to manage multiple concurrent requests, priorities and dependencies.

  • A strong sense of ownership and accountability, proactively driving activities through to completion.

  • Strong attention to detail, with the ability to maintain accurate records and provide clear visibility of status and actions.

  • Excellent communication and stakeholder management skills, with the confidence to work collaboratively across different functions and levels of the organisation.

  • The confidence to follow up, constructively challenge and escalate where necessary to maintain momentum and resolve blockers.

  • A process-oriented mindset, with the ability to navigate structured processes while identifying opportunities to simplify and automate them.

  • Good analytical skills, with the ability to identify trends, recurring issues and opportunities for improvement.

  • Experience in vendor management, technology procurement, software licensing, project coordination, commercial operations or contract administration.

Salary Range:

£50,200 - £68,000 per year
